Company A’s primary internal software application needed a redesign. Customer Success reps were spending about 2,560 hours extra every year trying to complete their tasks in this application.
The technology was old, resulting in serious performance issues, integration challenges arose every day, and there were constant security concerns with maintaining their clients’ confidentiality and data integrity. In short, the business was wasting $128k on this application every year. The application required comprehensive training for internal users due to the dysfunctional layout of the UI, and of course- the users were sick and tired of not being able to do their work successfully.
However, the project manager was very overwhelmed and unable to provide clear direction, while the existing application was so disorganized that the team didn’t know where to begin. Leadership offered insufficient guidance on the desired outcomes, and there was a lack of time and resources dedicated for the project.
That’s where I came in.
Although my role for the project was technically UX Strategist, I used my expertise as a Workshop Facilitator to design a Product Strategy workshop to help the team of Project Managers, Product Owners, Designers, and the Director of Product align with the project goals.
I saw a huge gap and took the opportunity to jump in and do some creative problem-solving! The workshop I created offered a structured approach to identifying key issues, prioritizing solutions, and establishing actionable steps to move the project forward.
Overcoming Project Hurdles with Clear Problem Identification
My goal was to transform these roadblocks and business challenges into opportunities for innovation, collaboration, and a successful product launch!Â
Highlight the Positive: Participants identified positive aspects contributing to the project’s momentum to foster a constructive mindset.
Capture the Problems: Challenges hindering the project initiation were transparently documented on sticky notes by participants.
Prioritize the Problems: Through collaborative dot voting, participants pinpointed the most critical challenges obstructing progress.
Reframe the Problems as Standardized Challenges: Top-voted problems were reformulated into standardized challenges, setting the stage for solution ideation.
Prioritize Solutions: Participants generated creative solutions for the standardized challenges and voted to determine the most promising ideas.
Decide What to Execute On: Solutions were evaluated on an Effort/Impact Scale to discern high-impact, feasible actions.
Make Solutions Actionable: The workshop culminated in refining the top three solutions into actionable steps, ensuring tangible measures for testing and implementation.
By the following week, the team was back on track with a clear path laid out for a successful project execution.
